Return Conditions

Equipment Return Conditions

Equipment shall be returned to Room Twelve Limited at the end of the Lease Period (or where applicable, at the end of the Extension Period) in the following condition (where equipment is not listed below or you require further information/ clarifications please contact us directly):

General condition for all equipment:

  • functioning and able to operate for the original use intended by the manufacturer of the Equipment;
  • clean with no stickers / tape marks etc
  • complete and with no missing parts;
  • with any applicable service and/or maintenance records and together with any operating and/or instruction manuals provided to the Buyer by the manufacturer and/or the Supplier;
  • having been maintained in accordance with any recommendations made by the manufacturer of the Equipment and with any maintenance work being carried out to a professional standard and using parts approved by the manufacturer of the Equipment;
  • clean (by industry standards) and with all Buyer markings, labels and identification tags attached to the Equipment removed;
  • in compliance with all United Kingdom laws, regulations and standards which are applicable to the Equipment at the time of return;

Specifics Categories

IT / AV / ICT

  • having been maintained in accordance with any recommendations made by the manufacturer of the Equipment and with any maintenance work being carried out to a professional standard and using parts approved by the manufacturer of the Equipment;
  • clean (by industry standards), with any Buyer livery, signage, decals and labels removed and free from any structural or mechanical damage, material corrosion and any harmful substances and/or contaminants;
  • to the extent that software was supplied with the Equipment, such software to be up to date and without corruption;
  • with all personal data and confidential information removed from the Equipment;
  • free from exterior or interior structural or mechanical damage including dents, chips, damaged paintwork or coating, pixel damage or scratches (other than scratches and/or cosmetic deterioration constituting fair wear and tear);
  • (where applicable) with any keyboard having no missing or damaged keys;
  • with all accessories and components as per the original specification of the Equipment (including any power adapters, power cords, cables, memory, hard drives, tape drives, cd rom, covers, cases, cards, modems, keyboards and mice, pens);
  • with any technical specifications and operating software loaded on the Equipment (such software to be up to date and without corruption);
  • for the purposes of transportation, packaged in a manner which will protect the Equipment from damage and in accordance with any reasonable instructions provided by Room Twelve Limited in relation to the packaging for such transportation;
  • in its original configuration together with all licences necessary for the continued use of any software forming part of the Equipment;
  • unlocked without any passwords, control mechanisms or restrictions;
  • with all data (including personal and confidential data) permanently wiped from any hard disk, device or applications forming part of the Equipment;
  • to the extent that the Equipment was supplied with an operating system supported by a certificate of authenticity, with the certificate in an enforceable state;
  • with any devices restored to its original factory setting;
  • where the Equipment is a laptop, or is designed for use without being attached to a plugged charging point,  the battery not being swollen and having no less than 6 hours battery life where the Equipment is less than 3 years old or 1 hour battery life where the Equipment is 3 years old or more.

Healthcare Equipment

  • having been maintained in accordance with any recommendations made by the manufacturer of the Equipment and with any maintenance work being carried out to a professional standard and using parts approved by the manufacturer of the Equipment;
  • clean (by industry standards), with any Buyer livery, signage, decals and labels removed and free from any structural or mechanical damage, material corrosion and any harmful substances and/or contaminants;
  • all instrument and gauge glasses, viewing panels and windows instruments to be in place and undamaged; with all switches, buttons, levers keyboards and similar items in working order;
  • to the extent that software was supplied with the Equipment, such software to be up to date and without corruption;
  • with all personal data and confidential information removed from the Equipment;
  • free from exterior or interior structural or mechanical damage including dents, chips, damaged paintwork or coating, pixel damage or scratches (other than scratches and/or cosmetic deterioration constituting fair wear and tear);
  • in working order and in a similar condition as when installed, due allowance having been made for fair wear and tear;
  • with reasonable records which demonstrate that the Equipment has been maintained in accordance with applicable manufacturer’s and industry standards;
  • for the purposes of transportation to the Room Twelve Limited, packaged in a manner which will protect the Equipment from damage and in accordance with any reasonable instructions provided by Room Twelve Limited in relation to the packaging for such transportation;
  • free from dents, fractures, chips, damaged paintwork or coating, scratches, pixel damage or stains (due allowance having been made for wear and tear);
  • decontaminated and with a decontamination certificate;
  • with all accessories and components as per the original specification of the Equipment delivered (including any power adapters, power cords and cables);
  • with all passwords and/or other security codes in relation to the Equipment;

Temporary Buildings

  • having been maintained in accordance with any recommendations made by the manufacturer of the Equipment and with any maintenance work being carried out to a professional standard and using parts approved by the manufacturer of the Equipment;
  • clean (by industry standards), with any Buyer livery, signage, decals and labels removed and free from any structural or mechanical damage, material corrosion and any harmful substances and/or contaminants;
  • with all personal data and confidential information removed from the Equipment;
  • free from exterior or interior structural or mechanical damage including dents, chips, damaged paintwork or coating, pixel damage or scratches (other than scratches and/or cosmetic deterioration constituting fair wear and tear);
  • in working order and in a similar condition as when installed, due allowance having been made for fair wear and tear;

(1)        Roof:

  • No visual / structural damage
    • No water leaks / stains
    • Guttering clear of debris and free flowing
    • Silicone renewal to joints etc

(2)        PV Array where applicable:

  • No visible damage to all components
    • Proof of purchase if panel/s renewed through damage or failure
    • Cables still secure and safe on roof and inside

(3)        Walls & Ceilings:

  • No visible / structural damage
    • No cracks or knocks
    • No unauthorised amendments to superstructure – New apertures etc
    • No visible damp / mould growth from water ingress or poor ventilation
    • Proof of routine maintenance – making good shrinkage cracks etc

(4)        M&E:

  • All exposed faceplates complete and not broken
    • No amendments to circuits without the approved certificates following re test
    • Fixtures and fittings remain constant with original install – No unauthorised amendments of lesser quality & keeping of product
    • Certificate of routine maintenance for Heating and Water Systems
    • Proof of routine maintenance – PAT (Electrical Safety Testing) generically

(5)        Wet Areas Inclusive of Toilets, where applicable:

  • Proof of routine maintenance – Firing of taps etc – Oxidisation of copper pipes
    • Fixtures and fittings remain constant with original install – No unauthorised amendments of lesser quality & keeping of product
    • No visible / structural damage to all elements
    • No visual damage to the cubicle systems, boxing’s, door furniture & doors
    • No visible damp / mould growth from water ingress, leaks and or poor ventilation

(6)        Floor coverings:

  • Proof of routine maintenance – Silicone renewal to joints to sanitary ware & wall / floor junctions etc
    • No visible damp / mould growth from water ingress, leaks and or poor ventilation
    • No visible and obvious damage and or spoiling
    • Visually sound and secure to substrate
    • Floor coverings remain constant with original install – No unauthorised amendments of lesser quality & keeping of product

(7)        Internal Finishes:

  • Fixtures and fittings remain constant with original install – No unauthorised amendments of lesser quality & keeping of product
    • Visually good order and well-kept finishes to walls and frames etc
    • Proof of routine maintenance – making good shrinkage cracks / silicone junctions to apertures

(8)        External facade:

  • Visually sound and secure to substrate
    • In good order no excessive splits / cracks or malicious damage
    • No graffiti and or other added finished to original materials
    • Fixtures and fittings remain constant with original install – No unauthorised amendments of lesser quality & keeping of product
    • General good, clean & maintained appearance

(9)        Mechanical Openings:

  • Fixtures and fittings remain constant with original install – No unauthorised amendments of lesser quality & keeping of product
    • Proof of routine maintenance – Solid handles well fixed and emergency hinge operation
    • Grit Free, smooth and easy movement of hinges & openers to windows.
    • Grit Free, smooth and easy movement of hinges and door furniture.
    • Restrictors still functional if fitted

Catering and Domestic Services:

  • having been maintained in accordance with any recommendations made by the manufacturer of the Equipment and with any maintenance work being carried out to a professional standard and using parts approved by the manufacturer of the Equipment;
  • clean (by industry standards), with any Buyer livery, signage, decals and labels removed and free from any structural or mechanical damage, material corrosion and any harmful substances and/or contaminants;
  • all instrument and gauge glasses, viewing panels and windows instruments to be in place and undamaged; with all switches, buttons, levers keyboards and similar items in working order;
  • to the extent that software was supplied with the Equipment, such software to be up to date and without corruption;
  • with all personal data and confidential information removed from the Equipment;
  • free from exterior or interior structural or mechanical damage including dents, chips, damaged paintwork or coating, pixel damage or scratches (other than scratches and/or cosmetic deterioration constituting fair wear and tear);
  • with all accessories and components as per the original specification of the Equipment;
  • In good clean working order, without any cooking / food residue
  • for the purposes of transportation, packaged in a manner which will protect the Equipment from damage and in accordance with any reasonable instructions provided by Room Twelve Limited in relation to the packaging for such transportation;

Estates / Ground Maintenance:

  • having been maintained in accordance with any recommendations made by the manufacturer of the Equipment and with any maintenance work being carried out to a professional standard and using parts approved by the manufacturer of the Equipment;
  • clean (by industry standards), with any Buyer livery, signage, decals and labels removed and free from any structural or mechanical damage, material corrosion and any harmful substances and/or contaminants;
  • all instrument and gauge glasses, viewing panels and windows instruments to be in place and undamaged; with all switches, buttons, levers keyboards and similar items in working order;
  • to the extent that software was supplied with the Equipment, such software to be up to date and without corruption;
  • with all personal data and confidential information removed from the Equipment;
  • in compliance with all United Kingdom laws, regulations, and standards which are applicable to the Equipment at the time of return (including The Lifting Operations and Lifting Equipment Regulations 1998);
  • free from exterior or interior structural or mechanical damage including dents, chips, damaged paintwork or coating, pixel damage or scratches (other than scratches and/or cosmetic deterioration constituting fair wear and tear);
  • with no oil, lubricant, water or fuel leaks and all filters and screens clear;
  • with any air, hydraulic or mechanical operating systems to be in good operational order;
  • with any radiator and/or cooling system free from clogging from dust, mud or any other blocking substance and free from leaks, puncture holes and being capable of sustaining the Equipment with the normal operating temperature range as specified by the manufacturer and being filled with the correct coolant solute in compliance with the manufacturer’s recommendation;
  • with all pins, bushes and piston rods to be free from damage;
  • with any linings/discs on brakes to be operational and free from damage;
  • with wear pads or slides on any boom or mast to be no more than 50% worn and without twisting, bending or distortion to either fixed, inner or outer sections;
  • with any attachment (including forks, buckets, grapples) not being more than 50% worn and not having any cracks, distortions, fractures or material corrosion; and with any forks and tines to be as per the manufacturer’s original setting;
  • with all drive line transmission, control levers and linkages fully operational and without any undue noise, backlash, free play or leaks;
  • with any applicable Vehicle Registration Certificate (V5);
  • with all tyres or wheels including those fitted to spare wheels to be of the correct model, type and size meeting the manufacturer’s specification and having no less than 50% of the original tread depths remaining.  Such tyres or wheels to be in a good operating condition and complying with all legal requirements for on-highway vehicles in the United Kingdom and being free from cuts, gouges, flat spots, damage to the side walls, punctures and being correctly inflated (with regrooved tyres and other remoulded or re-treaded tyres not being acceptable);
  • in relation to any tracked equipment, all tracks to be to be of the correct model, type and size meeting the manufacturers specification.  Such tracks to be in a good operating condition and with track groups, rollers, sprockets, idlers, tensioning equipment and tracks having at least 50% wear remaining and with track adjusters being fully functional and free from leaks;
  • with the engine(s) operating according to manufacturer’s specifications with no oil leaks or excessive smoke emitting from the exhaust or any other ports and with no ingress of water into the lubrication, hydraulic or cooling systems; with the transmission, clutch and drive systems functioning properly with no slipping or grabbing being present in the operation of the equipment and no breakage or damage to the engine, transmission or cooling system mountings and frame;
  • with the braking system operating properly, without pulling to either side and capable of retard and holding the Equipment to the standard specified by the manufacturer. With no evidence of heat discoloration or warpage caused by failure to release the parking brakes, cracked brake drums having been replaced and brake pads and linings being no more than 50% worn;
  • with the steering system operating normally to the left and right in both forward and reverse gear to the standard specified by the manufacturer;
  • with all lenses and rotating beacons which are broken, missing or defaced replaced;
  • with all service, working and road lights being complete and in good operating order with road lights being in compliance with the then Road Traffic Act or other applicable legislation in the United Kingdom;
  • with the cab and interior being free from damage and abuse with all seating, upholstery, linings, mouldings, trim and accessories free from tear, scratches and graffiti and with all interior equipment and services complete and functioning properly;
  • with all hydraulic cylinders and rams being in proper working order, free from leaks, pitting, corrosion and scoring, not being bent and being capable of operating as originally specified when new in respect of reach and pressure. All hydraulic and hydrostatic motors functioning properly and being devoid of cracked casings and damaged joints and hoses and all hydraulic hoses, connections and couplings being free from leaks and damage;
  • with all towing devices being in complete and in good operating order and not being bent or damaged;
  • with all starter and ancillary batteries capable of holding a full charge, being sound by industry standards with no dead cells or cracked or leaking casings and correctly filled with a proper electrolyte solution, with no evidence of corrosion being present and being maintained in a clean condition;
  • with any ground engaging equipment (including buckets, skips, rippers, wear plates, blades, cutting edges and teeth) not being more than 50% worn and being free from cracks, damage, excess dents and rippling; and
  • not having exceeded any maximum permitted usage which may be stated on the Lease Schedule.

Green Technology  / Renewables / Heating / Lighting

  • functioning and able to operate for the original use intended by the manufacturer of the Equipment;
  • complete and with no missing parts;
  • with any applicable service and/or maintenance records and together with any operating and/or instruction manuals provided to the Buyer by the manufacturer and/or the Supplier;
  • having been maintained in accordance with any recommendations made by the manufacturer of the Equipment and with any maintenance work being carried out to a professional standard and using parts approved by the manufacturer of the Equipment;
  • clean (by industry standards), with any Buyer signage, decals and labels removed and free from any structural or mechanical damage, material corrosion and any harmful substances and/or contaminants;
  • all instrument and gauge glasses, viewing panels and windows instruments to be in place and undamaged; with all switches, buttons, levers keyboards and similar items in working order;
  • to the extent that software was supplied with the Equipment, such software to be up to date and without corruption;
  • with all personal data and confidential information removed from the Equipment;
  • in compliance with all United Kingdom laws, regulations and standards which are applicable to the Equipment at the time of return;
  • free from exterior or interior structural or mechanical damage including dents, chips, damaged paintwork or coating, pixel damage or scratches (other than scratches and/or cosmetic deterioration constituting fair wear and tear);
  • with no material oil, lubricant, water or fuel leaks and all filters and screens clear;
  • with any air, hydraulic, mechanical, electrical, lighting, heating and/or ventilation operating systems to be in good operational order;
  • with any radiator and/or cooling system free from clogging from dust, mud or any other blocking substance and free from leaks, puncture holes and being capable of sustaining the Equipment with the normal operating temperature range as specified by the manufacturer and being filled with the correct coolant solute in compliance with the manufacturer’s recommendation;
  • with all batteries capable of holding a full charge and being sound by industry standards with no dead cells or cracked or leaking casings;
  • with all control systems and linkages fully operational and without any undue noise, backlash, free play or leaks; and
  • not having exceeded any maximum permitted usage which may be stated on the Lease Schedule

Gym Equipment

  • having been maintained in accordance with any recommendations made by the manufacturer of the Equipment and with any maintenance work being carried out to a professional standard and using parts approved by the manufacturer of the Equipment;
  • clean (by industry standards), with any Buyer livery, signage, decals and labels removed and free from any structural or mechanical damage, material corrosion and any harmful substances and/or contaminants;
  • to the extent that software was supplied with the Equipment, such software to be up to date and without corruption;
  • with all personal data and confidential information removed from the Equipment;
  • free from exterior or interior structural or mechanical damage including dents, chips, damaged paintwork or coating, pixel damage or scratches (other than scratches and/or cosmetic deterioration constituting fair wear and tear);
  • (where applicable) with any keyboard having no missing or damaged keys;
  • with all accessories and components as per the original specification of the Equipment (including any power adapters, power cords, etc);
  • with any technical specifications and operating software loaded on the Equipment (such software to be up to date and without corruption);
  • for the purposes of transportation, packaged in a manner which will protect the Equipment from damage and in accordance with any reasonable instructions provided by Room Twelve Limited in relation to the packaging for such transportation;
  • in its original configuration together with all licences necessary for the continued use of any software forming part of the Equipment;
  • unlocked without any passwords, control mechanisms or restrictions;
  • with all data (including personal and confidential data) permanently wiped from any hard disk, device or applications forming part of the Equipment;
  • to the extent that the Equipment was supplied with an operating system supported by a certificate of authenticity, with the certificate in an enforceable state;
  • with any devices restored to its original factory setting;

Musical Equipment

  • having been maintained in accordance with any recommendations made by the manufacturer of the Equipment and with any maintenance work being carried out to a professional standard and using parts approved by the manufacturer of the Equipment;
  • clean (by industry standards), with any Buyer livery, signage, decals and labels removed and free from any structural or mechanical damage, material corrosion and any harmful substances and/or contaminants;
  • to the extent that software was supplied with the Equipment, such software to be up to date and without corruption;
  • with all personal data and confidential information removed from the Equipment;
  • free from exterior or interior structural or mechanical damage including dents, chips, damaged paintwork or coating, pixel damage or scratches (other than scratches and/or cosmetic deterioration constituting fair wear and tear);
  • (where applicable) with any keyboard having no missing or damaged keys;
  • with all accessories and components as per the original specification of the Equipment (including any power adapters, power cords, etc);
  • with any technical specifications and operating software loaded on the Equipment (such software to be up to date and without corruption);
  • for the purposes of transportation, packaged in a manner which will protect the Equipment from damage and in accordance with any reasonable instructions provided by Room Twelve Limited in relation to the packaging for such transportation;
  • in its original configuration together with all licences necessary for the continued use of any software forming part of the Equipment;
  • unlocked without any passwords, control mechanisms or restrictions;
  • with all data (including personal and confidential data) permanently wiped from any hard disk, device or applications forming part of the Equipment;
  • to the extent that the Equipment was supplied with an operating system supported by a certificate of authenticity, with the certificate in an enforceable state;
  • with any devices restored to its original factory setting;

Furniture

  • having been maintained in accordance with any recommendations made by the manufacturer of the Equipment and with any maintenance work being carried out to a professional standard and using parts approved by the manufacturer of the Equipment;
  • clean (by industry standards), with any Buyer livery, signage, decals and labels removed and free from any structural or mechanical damage, material corrosion and any harmful substances and/or contaminants;
  • where the equipment is upholstered, no stains, rips, tears, or fraying
  • free from exterior or interior structural or mechanical damage including dents, chips, damaged paintwork or coating, or scratches (other than scratches and/or cosmetic deterioration constituting fair wear and tear);
  • with all accessories and components as per the original specification of the Equipment
  • for the purposes of transportation, packaged in a manner which will protect the Equipment from damage and in accordance with any reasonable instructions provided by Room Twelve Limited in relation to the packaging for such transportation;
